The Executive Assistant will be responsible for supporting a C level executive. The preferred candidate should have at a minimum five (5) years office administration experience with recent C-suite senior executive support. Additionally, the candidate must have experience with international travel, complex schedule management and strongly proficient with Excel and PowerPoint. The candidate is expected to have excellent customer relations and communication skills at both an internal and external level as the position includes coordinating with other Aurora business sectors, government personnel, and our customers.
The Executive Assistant supports in the following duties:
Perform administrative tasks including complex calendar management.
Coordinate meetings, supplier site-visits and other special events.
Preparing extensive travel arrangements to include international travel, generating travel expense reports, reconciling credit card statements and other duties as needed to manage travel.
Generate meeting minutes and maintain action item lists ensuring follow-up.
Prepare, assemble and modifying weekly reports, presentations and briefing materials using MS Word, PowerPoint, Excel, FastTrack, and Visio
Assist with special projects and other duties as required
Must have at a minimum of five (5+) years of office administration experience with recent C-suite executive support.
Must have excellent organizational and interpersonal skills, with a positive attitude towards work.
Must project the professionalism of the office when dealing with internal and external customers.
Must have the ability to prioritize and multi- task in an organized fashion ensuring timely completion.
Proficient to Advanced experience in Microsoft Outlook, Word, Excel and PowerPoint.
Proficient to Intermediate use of Sharepoint, Visio and FastTrack Schedule.
Must be able to handle office materials and information with 100% confidentiality.
Must be able to take initiative and work well under pressure.
Must be a US Person or Permanent Resident Green Card holder.
Normal business hours; some overtime may be required.
